At ScanDoc, a product of Wan Buffer Services, we take your privacy seriously. This policy explains how we handle your information, ensuring transparency, compliance, and complete control for our users.

We design every part of ScanDoc around one principle: your data belongs to you.

Data Storage and Ownership

1Public Version

The public version of ScanDoc is built for absolute privacy.

  • We do not store, log, or retain any uploaded files, extracted data, or user information beyond the active processing session.
  • Documents are processed in-memory and permanently deleted immediately after output generation.

2Enterprise Version

For enterprise clients, we enable extended features and optional data storage only under a signed consent agreement.

Key terms of enterprise data management:

a.Users retain full ownership and deletion rights.
b.Each document is stored in an encrypted repository with three backup versions maintained for 7 days.
c.All backups are automatically purged after 7 days.
d.Enterprise users can delete any file manually at any time from their dashboard.
e.ScanDoc staff have no access to stored data unless explicitly authorized by the client for support purposes.

Information We Collect

Depending on your usage, we may collect:

Basic Information:

Name, company name, email, and contact details for account registration and communication.

System Logs:

Generic analytics, such as browser type, request time, or API usage (non-identifiable).

No Document Data:

The public version does not store or retain any document files or outputs.

How We Use Information

We use collected data strictly for:

  • Delivering, maintaining, and improving our services
  • Authenticating users and managing subscriptions
  • Providing customer support and security monitoring
  • Enhancing model accuracy with anonymized, aggregated data only

We never sell, trade, or share personal or document data with third parties.

ScanDoc uses enterprise-grade security protocols to protect your data:

TLS 1.2+ for data in transit, AES-256 for data at rest

Access Control

Role-based, logged, and time-bound for authorized staff only

Cloud Compliance

All infrastructure hosted on GDPR-compliant and ISO-certified servers

Backup Lifecycle

Enterprise backups auto-deleted every 7 days

Data Retention and Deletion

Public Version: Data deleted instantly after processing.

Enterprise Version: Data retained only per signed consent and can be deleted manually at any time.

Data Retention and Deletion: Three encrypted backups maintained for 7 days, then permanently removed.

To delete your data or account, contact privacy@scandoc.xyz or use the in-app delete option (enterprise clients).

User Rights

Under GDPR and India's DPDP Act (2023), you have the right to:

Access, correct, or delete your data
Withdraw consent for storage or processing
Export your stored data before account termination
Request full deletion of all backups

Requests are honored within 7 business days of verification.

Third-Party Integrations

ScanDoc integrates with systems such as Odoo, Zoho, and major cloud providers using secure, token-based connections. We never share or transmit document data without explicit user authorization.

Our website uses only essential cookies to improve functionality and remember user preferences. You can disable cookies through your browser without affecting document-processing features.
