Welcome to ScanDoc, a platform owned and operated by Wan Buffer Services. By accessing or using our services, you agree to the following Terms of Use.

Effective Date: October 2025

Quick Navigation

By accessing or using our website, APIs, or document-processing services, you agree to the following Terms of Use. If you do not agree, please discontinue use immediately.

1. Overview

ScanDoc provides AI-powered document-processing and automation services, including OCR, ICR, and data-structuring tools that integrate with third-party systems such as Odoo and Zoho. Two modes of service are available:

Public Version

No data is stored once processing is complete. Documents are processed in-memory and permanently deleted after output generation.

Enterprise Version

Data storage is available only with a signed contract and written consent.

2. User Accounts and Access

  • You must provide accurate information when registering or accessing ScanDoc.
  • You are responsible for safeguarding your credentials and all activity under your account.
  • Enterprise users must sign a Data Storage Consent Agreement before any persistent storage or integration is enabled.

3. Data Ownership and Control

You retain full ownership of all documents, outputs, and derived data.

Public Version:

Documents are processed in-memory and permanently deleted after output generation; no backups are created.

Enterprise Version:

  • Documents are encrypted and stored securely with three rolling backup versions, automatically purged every 7 days.
  • Enterprise users may view, download, or delete their data at any time from the dashboard.
  • ScanDoc personnel cannot access client data unless explicitly authorized for support under NDA.

4. Acceptable Use

You agree not to:

  • Upload unlawful, copyrighted, or confidential material without authorization.
  • Attempt to reverse-engineer, clone, or exploit the ScanDoc platform.
  • Interfere with, disrupt, or compromise system security or performance.
  • Use ScanDoc for unethical, fraudulent, or illegal activities.

Violation of these terms may result in immediate suspension or termination.

5. Intellectual Property

All platform software, algorithms, interfaces, designs, and trademarks remain the exclusive property of Wan Buffer Services.

Use of ScanDoc branding or assets requires prior written permission.

Clients maintain ownership of their uploaded and processed data.

6. Service Availability

We strive to maintain 99.9% uptime. Temporary interruptions may occur due to scheduled maintenance, third-party outages, or force-majeure events.

We make reasonable efforts to restore full service promptly but are not liable for downtime beyond our control.

7. Payments and Billing

Enterprise subscriptions and paid plans are governed by their respective commercial agreements. Failure to make timely payment may result in suspension or termination of access until dues are cleared.
